How Do Technical Writers Work with SMEs?

As a technical writer, how do you gather information from Subject Matter Experts (SMEs)? Do you have any advice for interviewing SMEs?

You’ve brought your question to the right place — I just happen to be the subject matter expert (SME) on gathering information from SMEs!
While interviewing SMEs can seem daunting, a strategic approach will help you find and procure the gold you need for your writing with ease. And the key to your strategy is largely rooted in properly preparing for the interview.
- Do your homework. Make sure that you understand the goal of your writing piece. Then, do some initial research on the topic ahead of time and jot down any questions you come up with. (SMEs appreciate when you have some foundational knowledge—it shows respect for their time and expertise!)
- Clearly indicate what you need. When you schedule the interview, be clear about your goals. Let the SME know what you’re hoping to gain from the interview (such as the specific information you’re after), and how their input will help.
- Prepare for the interview. Refer to your preliminary research and writing goals to help you build out your list of questions to ask. I suggest including questions that cover two different angles:
- High-level, open-ended questions – This will encourage the SME to explain concepts in a simpler way that’s digestible for a broad audience.
- Low-level, focused questions – This will encourage the SME to provide more specific explanations that get into the meat of the topic.
- Capture the information. It’s essential to practice active listening during the interview so you don’t miss anything important. At the very least, you should take plenty of notes—but it’s even better to ask the SME if you can record the interview to refer back to later.
- Ask questions. Always remember that there’s no need to feel shy or awkward during the interview. Don’t worry about asking too many questions or holding back any “dumb” questions—after all, they’re the expert, not you—and SMEs love to talk about their area of expertise!
- Review and follow-up (if needed). Go back through your notes/recording of your interview with the SME. Did you get all of your questions answered? Do you have all the information you need for your writing piece? If you still have some gaps, follow up with the SME and let them know you have a few more questions. Otherwise, it’s time to start writing!
